Carrier Operations Specialist


Overview

This role supports day-to-day interactions with transportation partners and helps maintain smooth financial and operational processes. The Carrier Operations Specialist ensures timely responses to partner inquiries, assists with payment-related matters, and helps maintain accurate system data. Success in this role requires strong organization, clear communication, and the ability to manage multiple requests in a deadline-driven environment.


Core Responsibilities

Partner Support & Communications

  • Serve as a primary point of contact for carrier-related questions and requests
  • Monitor and respond to inbound inquiries through shared communication channels
  • Address questions related to payment timing, balances, and documentation
  • Provide clear and professional updates to external partners

Payment Investigation & Coordination

  • Research discrepancies, short payments, and open balances
  • Coordinate internally to resolve issues tied to billing or payments
  • Track open items through resolution and ensure follow-through
  • Keep organized records of inquiries and actions taken

System Access & User Enablement

  • Assist with onboarding carriers into internal systems and tools
  • Guide users on how to navigate portals and access key information
  • Support account setup, updates, and troubleshooting issues

Data Maintenance & Setup

  • Enter and update carrier profiles and required identifiers (e.g., SCAC)
  • Support electronic payment enrollment and updates
  • Perform routine checks to ensure data accuracy and completeness

Technical Coordination (EDI Support)

  • Help facilitate communication regarding electronic data exchanges
  • Partner with internal technical teams to resolve file or transmission issues
  • Relay updates and expectations to external partners as needed

Claims Tracking

  • Log and update freight claims in internal systems
  • Provide visibility into claim status and next steps
  • Collaborate with internal teams to help move claims toward resolution

Process Support & Improvement

  • Work cross-functionally to maintain efficient workflows
  • Identify trends in recurring issues and flag improvement opportunities
  • Assist in updating internal procedures and best practices

Qualifications

  • 2-4 years of relevant experience in logistics, transportation, or operations
  • Background in customer support or partner-facing roles preferred
  • Working knowledge of freight payment processes is helpful
  • Familiarity with industry tools such as EDI, ACH, or carrier identifiers is a plus
  • Strong written and verbal communication skills
  • Ability to stay organized while handling multiple priorities
  • Comfortable using Microsoft Excel and standard business applications
  • Experience with shared inboxes or case management tools is beneficial
  • Bachelor's degree in a related field preferred
